Choosing a paper size

Paper size is the first decision because every other proportion follows from it. The generators compose each sheet at true page dimensions rather than scaling a single master layout, so the choice affects type size, line weight and how much writing room each date cell gets. All four sizes follow the international paper size standards.

Printing on Tabloid 11 × 17

Tabloid is twice the area of Letter, which is why it is the standard for anything that has to be read from across a room. A month printed on Tabloid gives each date cell roughly the space of a business card, enough for three or four handwritten entries per day rather than one cramped line. Details of the format sit under North American paper sizes.

The practical constraint is hardware. Consumer inkjets almost never feed 11 × 17; office multifunction copiers and every copy shop do. Save the PDF, send or carry it over, and ask for 100% scale on 11 × 17 stock — 32 lb paper if the calendar will be written on with markers, or 60 lb card if it will hang for a year. If Tabloid is unavailable, the closest practical substitute is printing the same calendar on A3, which is within a few millimetres, and trimming.

Printing at the correct scale

1. Pick the paper size first. Choose the paper size before downloading so the sheet is composed at true page dimensions.
2. Download the PDF. Save the vector PDF, or open it in the free Adobe Acrobat Reader.
3. Disable scaling. Set the print dialog to 100% or Actual size instead of Fit to page.
4. Match the tray. Load the tray with the same paper size and orientation you selected.

If a printed sheet has thick grey borders and a shrunken grid, scaling is the cause roughly nine times out of ten. Open the file in the free Adobe Acrobat Reader rather than a browser preview if your print dialog does not expose a scale setting; Acrobat always does.

Week numbering and week start

Week numbers on this site follow the ISO 8601 week date standard: weeks start on Monday and week 1 is the week containing the first Thursday of January. That is why a January calendar can legitimately open with week 52 or 53 of the previous year. If you work with European colleagues, project management software or shipping schedules, turn week numbers on and set the week to start on Monday so the two agree.

Which format for which job

A monthly grid is the right default for anything shared: family schedules, classroom calendars, content plans. A weekly planner suits time-blocked work where the unit of planning is an hour rather than a day. A daily planner earns its place when a single day carries appointments, priorities and notes that will not fit in a cell. A yearly overview is for the wall behind a desk, where the value is seeing twelve months at once rather than writing on it. Blank calendars — no year, no fixed dates — are the workhorse for teachers, because one master copies for any month.
