How to Print a Calendar at 100% Scale

The four steps

1. Generate at the size you will print. Choose Letter, Legal, A4 or Tabloid in the generator before downloading. The page is composed at true page dimensions, so the grid, type size and line weights are correct for that sheet rather than scaled from another size.
2. Open the PDF in a real PDF reader. Browser print previews often hide the scale control. The free Adobe Acrobat Reader, Preview on macOS and most desktop readers expose it directly.
3. Set scaling to 100%. Look for Scale, Page Sizing or Page Scaling. Choose Actual Size or type 100. Turn off Fit to Page, Shrink Oversized Pages and Auto-Rotate and Centre if they are offered.
4. Match the paper and orientation. Set the paper size in the dialog to match the calendar, load that paper in the tray, and confirm the orientation matches the preview thumbnail before printing.

Those four steps solve the problem in almost every case. The rest of this guide explains why each one matters and what to do when the printed sheet still looks wrong.

Why fit-to-page shrinks your calendar

Every printer has an unprintable margin: a strip around the edge of the sheet that the mechanism physically cannot reach. Fit to Page protects against printing into that strip by scaling the whole page down to roughly 94 to 97 percent, then centring it. Nothing is cut off, which is why it is the default, but every dimension on the page shrinks with it.

On a calendar the effect is obvious. The grid pulls away from the edges, a thick white border appears, and the date cells lose several millimetres of writing room in both directions. On a Tabloid sheet the loss can be close to a centimetre of usable height.

Printing at 100% keeps the design exactly as it was composed. The calendars here are laid out with margins large enough to sit inside a normal printer's unprintable area, so scaling is not needed.

Where the scale setting lives

If your dialog has no scale control at all, that is a strong sign it will silently fit to page. Download the file and open it in Acrobat Reader instead of printing from the browser preview.

Checking that it worked

Measure the printed grid with a ruler. On a Letter monthly calendar the seven columns together should measure about 7.5 inches across, because the page is 8.5 inches wide with half an inch of margin on each side. If you measure closer to 7.1 inches, the sheet was scaled by roughly 95 percent and fit-to-page was still on.

A quicker check: hold two prints of the same month against each other after changing the setting. A scaled print is visibly smaller and its border is visibly wider.

Common problems and fixes

A thick grey or white border on all four sides means scaling is on. Set it to 100% and reprint. Content cut off on one edge means the paper size in the dialog does not match the PDF — a Legal PDF sent to a Letter tray, for example.

A calendar printing sideways usually means auto-rotate is fighting the page orientation. Set the orientation manually to match the preview. A calendar printing on two sheets means the dialog is set to a smaller paper size than the PDF, most often A4 receiving a Legal or Tabloid page.

Faint or grey lines are a printer setting rather than a scaling problem: check that draft or toner-saver mode is off, or switch to the bold grid theme, which uses heavier rules.
